Data Protection (GDPR)

General Data Protection Regulations (GDPR) help to make sure that people’s information is treated and held safely.

A key action for us, is that we can only hold email addresses for the purposes of sending updates, if we have specific permission to do so (called ‘explicit consent’).  This means that we need to ask you if you wish to be on our mailing list, and that you need to respond to say that you do.  If we don’t receive permission, this means that your email address cannot be held on our mailing list, and you may miss out on updates.  You can, of course, unsubscribe / ask to be taken off the list at any time, and we will confirm that we have done this for you. 

We will only use your email address (or ‘data’) to send you updates such as agendas, minutes, and other information we feel would be of help / interest.  This may include forwarding emails from other people (such as local Policing teams, charities etc).  We will not give your information to anyone else without asking you first.  If we need to use information that you have sent to us, we will remove anything ‘personal’ to you (such as email address, and potentially content) so that it cannot identify you, unless you have permitted us to do otherwise.

Additionally, we are using ‘bcc’ when sending emails, for privacy.  If you use ‘reply’ then your message will just go to the sender, however, if you use ‘reply all’ this will send your message to everyone on the mailing list.  Please bear this in mind when replying to emails – if in doubt, may I suggest just using ‘reply’.

please email  the Clerk at kirklingtonpc@gmail.com who will email you to confirm details of the regulations that apply - all you need to do is reply to confirm that you wish to ‘subscribe’ / be on the mailing list for updates – we will then take that as confirmation that you understand how Kirklington Parish Council will use your ‘data’, and that you are happy for us to do that (as explained above).
